TERMS AND CONDITIONS - MY COASTAL ESCAPES

Please ensure that you read the following terms and conditions before booking with My Coastal Escapes as once you have placed a booking with us you are entering into a short-term letting agreement. The holiday will not be confirmed and secured until you have paid a 25% deposit at such time, the binding agreement begins. 

 

The Letting Agreement 

  • This agreement is between you as the guest and the homeowner and will come into existence when you have paid a deposit and we as the Agents confirm the booking for the start and end dates you have chosen. No binding agreement is in place until we receive the deposit in full and you have received your booking confirmation. 

  • As agents, working on behalf of the homeowner, we request that you adhere to the terms of the letting agreement. You as the lead named guest will be responsible for ensuring that all your party members are made aware of these terms. Bookings cannot be accepted from persons under 18 years of age. 

 

Your Booking 

  • We accept bookings either over the phone or online and may offer you the option of provisionally holding a booking if you contact us by phone or email. Provisional bookings can be held for 48 hours and if the booking has not been confirmed by you then the date will be released on the website.  

  • All bookings are confirmed when you have paid the deposit and we email you a booking confirmation. This confirmation will inform you of the details of your booking, ie. The property you have booked, the date, the total cost of the holiday, the deposit paid, the remaining balance, the number of guests and any special requirements.  

  • Your booking will never be cancelled by the homeowner except in exceptional circumstances beyond their control. You will be notified immediately, and we will endeavour to transfer the booking to an alternative date or another property in the collection. In the event an alternative holiday cannot be secured, you will refunded all payments made for your holiday.  

 

Holiday Payment 

  • Bookings will be confirmed on receipt of the deposit payment which is 25% of the total sum payable for the full period of the booking. Deposits are non-refundable if the booking is cancelled by the hirer.  

  • If the booking is made less than eight weeks before the holiday commencement date, the full guest price will be required to be paid at the time the booking is made.  

  • The balance payment will be due for payment eight weeks before the holiday commencement date. Failure to make payment in full by the date shall entitle us to terminate any booking.  

  • On receipt of the full balance payment, the arrival details for the holiday property will be emailed to the guest.  

  • Payments can be made using credit and debit cards . Payments can also be taken over the phone. 

  • We strongly advise you to take out comprehensive travel insurance at the point of booking, to cover cancellations. If you do not, then you must accept responsibility for any loss that may incur due to your cancellation.  

 

 

Damage Deposit 

  • A £250 refundable damage deposit will be required when the balance of the holiday is paid, or when full payment is made if the holiday is booked within 8 weeks of the holiday start date. In making a booking you accept responsibility for any theft, breakage or damage caused by you, pets or any member of your party and agree to inform us of any loss that we may incur as a result.  

  • This deposit will be refunded within 10 days of the departure date, when the property has been inspected and if no damage has occurred then the £250 will be refunded on the card that it was paid.  

 

Cancellations 

  • If you wish to cancel your booking, you must inform My Coastal Escapes as soon as possible in writing or by email. The day we receive your notice of cancellation is the effective date of cancellation.  

  • If you cancel your booking on or after the start of the booking date, there will be no refund for any remaining nights of your booking. This includes when you cancel your booking for any reason outside of your control, including without limitation, inclement weather and illness.  

  • If My Coastal Escapes can re-let all or part of the period booked, My Coastal Escapes will, at its sole discretion, consider a refund, less any shortfall in cost of the re-letting and of an administration fee. If we are unable to re-let the period booked the cancellation charges detailed in the table below will apply :-

  • If for any reason the booking is cancelled by us due to an unexpected problem with the property, property with drawl or by a Force Majeure Event, and you do not accept any alternative property offered to you, a full refund should be made payable to you of all monies paid.  

 

 Complaints  

  • If problems occur for whatever reason, they should be reported to us immediately and we will do whatever we can to resolve the problem and address your complaint. However, if there is an unresolved complaint whilst staying at the property it is essential that you give us reasonable opportunity to rectify the problem. This includes allowing tradespeople to access the property, a member of My Coastal Retreats team, or the homeowner.  

 

Care of the Property 

  • You will be provided with welcome information on arrival which contains important information about your holiday accommodation, and we would ask you to read it thoroughly.  

  • You must keep the property, furnishings, fittings, fixtures and effects in the same state as you found it on arrival and care must be taken to ensure that all the contents of the house are respected and looked after with great care. 

  • Please report any damages immediately so that the owner can be informed and appropriate action taken to replace or repair the item.  

  • Smoking is not permitted in any part of the property, this includes the use of vapors or e-cigarettes. 

  • Pets – a well trained dog is only allowed at our properties with prior arrangement and a charge of £30 is paid. No pets are allowed on settees or beds and can not access the first floor. 

  • The maximum number of persons using the accommodation at any time must not exceed those that are listed on the booking form and the maximum the property will accommodate.  

  • Please make sure that all the doors and windows in the property are locked and secured before going out and on the day of departure.  

  • We suggest that keys are left for safe keeping in the key safe when you go out, if keys are misplaced during your stay or not returned at the end of your stay, then the cost of replacement will be charged to you.  

  • Please make sure that you switch off any lights or any electrical appliances on departure. 

  • Guests are responsible for the safety and security of any members of their party, particularly young children and the elderly. Never leave children without adult supervision.  

  • The owners are not responsible for the loss of any personal belongings and any lost property found will be returned to you upon receipt of the postage and packaging fee. 

  • May we ask you to please respect the local community and try to keep the noise to a minimum between the hours of 11pm and 8am.  

  • The lighting of candles is not allowed in holiday homes.  

 

On Arrival and Departure 

  • The holiday home will be prepared and ready for your arrival at 4pm on the day your holiday starts.  

  • A luxury hamper will be waiting for you to enjoy when you arrive. 

  • We would ask you to vacate the home by 10am on the day of departure. 

  • Please ensure that you have all your personal belongings with you and that house is left as found. 

  • The property must be left ready for the cleaning team which includes emptying all internal bins, striping the beds and placing all dirty linen in the linen bags provided. Please ensure all that the dishwasher is put on and any other items that have been used in the kitchen are cleaned.
